Bib Swap and Race Change

In RUFUS Race Manager (RRM), race operators can correct participant registration data even after timing data has been recorded. Two important tools available in the Edit Participant view help handle these situations:

  • Bib Swap – exchange bib numbers between two participants.

  • Race Change – move a participant to another race.

Both tools automatically analyze existing passings to help maintain result consistency.

Edit Participant View

Bib Swap

The Bib Swap feature allows you to exchange bib numbers between two participants. This is useful when bib numbers were distributed incorrectly before or during the race.

Bib swapping ensures that all related passings are automatically reprocessed so that the correct participant remains associated with the correct timing data.

Accessing Bib Swap

To perform a bib swap:

  1. Open the Edit Participant view.

  2. Locate the Registration Details section.

  3. Find the Bib number field.

  4. Click Bib Swap.

This opens the Bib Swap dialog.

Performing a Bib Swap

In the Bib Swap dialog:

  1. Enter the target bib number of the participant you want to swap with.

  2. Click Preview.

RRM will display a before and after comparison, showing:

  • Participant names

  • Bib numbers

  • Chip codes

  • Assigned races

This preview helps confirm that the swap will produce the expected result.

Compatibility Analysis

When previewing a swap, RRM also analyzes how the swap will affect recorded passings.

If the participants belong to different races, a Cross-race bib swap warning may appear. This warning shows:

  • The number of compatible passings

  • The number of incompatible passings

Incompatible passings may affect ranking calculations depending on race configuration.

Once confirmed, click Swap Bibs to apply the change.

All affected passings will be automatically reprocessed.

Race Change

Participants can also be reassigned to another race from the Race selector in the Registration Details section.

This may be necessary when:

  • A participant registered for the wrong race

  • A participant switches distance

  • Race staff corrects a registration mistake

Race Change Warning

If the participant already has recorded passings, RRM displays a warning indicator next to the race selector.

This warning indicates that changing the race may affect existing timing data.

When saving the participant after a race change, a confirmation dialog will appear explaining:

  • The race being changed

  • The number of compatible passings

  • The number of incompatible passings

You can then choose:

  • Cancel – keep the current race assignment.

  • Continue Anyway – apply the race change.

When to Use These Features

These tools are commonly used during race operations to correct participant information.

Typical scenarios include:

  • Two participants accidentally wearing each other's bibs

  • A participant changing distance before the race

  • Correcting registration mistakes

  • Adjusting participants based on race control decisions

Because RRM automatically reprocesses passings, these changes are applied safely without losing recorded timing data.
