The Participants Grid in RUFUS Race Manager (RRM) is a powerful tool that allows users to efficiently view, organize, and manage participants. By utilizing the various grid features, you can filter, group, and take bulk actions, making participant management easier and more streamlined. This article will cover the available options for organizing participants using the grid.

Participants Grid Overview

The Participants Grid provides a detailed view of all participants registered in an event. Each row represents a participant, with columns for various details such as BIB, Chip, Name, Last Name, Gender, Age Group, DOB (Date of Birth), YOB (Year of Birth), Group, City, Country, Club, Team, Status, Email, Telephone, and Race. The grid is designed to be interactive, allowing users to easily sort, filter, and manage participant data.

Color Coding by Gender

The Gender column in the grid utilizes color coding to help users visually distinguish between male and female participants. The color mapping is based on the Gender Mapping settings configured in the Settings tab. This helps with quick identification and better organization.

Available Grid Actions

1. Exporting Data

Users can Export participant data to either CSV or PDF formats. This feature is helpful for generating reports or creating backups of participant information. The export will include only the data currently visible in the grid. For example, if a filter is applied, only the filtered information will be exported.

2. Searching Participants

The grid includes a Search bar, allowing users to quickly find specific participants by entering details such as name, BIB number, or chip code.

3. Column Actions

Each column in the grid has a set of actions that can be performed to better organize the data:

  • Sort by ASC/DESC: Sort the column in ascending or descending order.

  • Pin to Left/Right: Pin the selected column to the left or right side of the grid for easier viewing.

  • Filter: Apply filters to the column to only show participants matching specific criteria.

  • Group by: Group participants based on the selected column, such as grouping by Status or Country.

  • Hide Column: Hide columns that are not relevant to your current workflow.

  • Manage Columns: Customize the grid by managing which columns are visible or hidden.

4. Bulk Actions

The grid allows users to perform bulk actions on multiple participants at once. To select participants, click the checkboxes next to their rows and use the following options:

  • Delete: Delete the selected participants. Please note that this action will permanently remove participants.

  • Reset Status: Set the status of the selected participants to NOT_STARTED. This action will not delete any existing passings, but it will reset the race status to NOT_STARTED.

Publish Participants List in the RUFUS Event App

Once the event is in PUBLISHED status you can publish the participants list to ensure everyone can check and verify their details (name, gender, birth year, club, team, etc.).

To publish participants simply go to the All Participants tab and press the cloud icon next to the page header.

Tips for Organizing Participants

  • Pin Important Columns: Pin columns such as BIB or Name to keep essential participant details in view while scrolling through the grid.

  • Group by: Use the **Group by ** option to quickly see which participants are NOT_STARTED, IN_RACE, FINISH, etc. This helps in effectively managing participant progress.

  • Use Filters for Specific Data: Apply filters to columns like Country or Age Group to view specific segments of participants and analyze data accordingly.
